Executive Assistant

Lake Ridge Academy is seeking an Executive Assistant to the Head of School. The Assistant serves as a trusted strategic partner to the Head and a key ambassador for the school community. This position combines high-level executive support with responsibility as the primary receptionist and greeter in the main lobby. The role also provides administrative support to members of the Business Office as workload permits. This position requires exceptional discretion, organizational excellence, professionalism, and initiative. The Executive Assistant will be entrusted with highly sensitive information and must exercise sound judgment, confidentiality, and diplomacy at all times. This is a full-time, 12-month position.

Key Responsibilities

Executive Support to the Head of School

  • Manage and prioritize the Head’s calendar with strategic awareness and sound judgment
  • Coordinate meetings, board communications, and confidential correspondence
  • Prepare documents, presentations, reports, and briefing materials
  • Track follow-up items and ensure timely completion of commitments
  • Serve as a gatekeeper and liaison with trustees, donors, parents, faculty, and community partners
  • Maintain strict confidentiality regarding personnel matters, strategic initiatives, and sensitive communications

Board & Committee Meeting Management (End-to-End)

  • Serve as the primary point of contact and administrative liaison for the Board of Directors and board committees.
  • Build and maintain the annual board/committee meeting calendar; coordinate dates, locations, technology, and logistics.
  • Gather agenda items from the Head of School, senior leaders, committee chairs, and relevant presenters.
  • Compile, format, and distribute board packets in advance (agenda, minutes, reports, resolutions, dashboards, and attachments).
  • Attend all Board and committee meetings to record thorough minutes, including attendance, motions, proposals, and resolutions, following correct governance protocols.
  • Produce and distribute meeting minutes promptly; track follow-up action items and ensure owners are assigned and deadlines are met.
  • Support onboarding of new board and committee members, maintaining orientation materials, access instructions, and board documentation.
  • Maintain organized board records and archives, including historical minutes and materials required for audits or compliance.

Front Desk & Community Ambassador

  • Serve as the primary receptionist and greeter for the main lobby
  • Provide a welcoming, professional first impression for parents, students, donors, trustees, and visitors
  • Manage incoming calls and inquiries with courtesy and efficiency
  • Coordinate office systems and supplies (inventory, ordering, equipment coordination, shared spaces, basic troubleshooting).
  • Support planning and hosting of staff meetings, trainings, and school/community events—including room setup, technology support, hospitality, and materials.
  • Maintain shared office calendars and coordinate facility/meeting space scheduling as needed.
  • Handle difficult conversations with calm professionalism when interacting with concerned parents and community members

Business Office Support

  • Provide administrative assistance to the Business, Admissions, and Advancement Offices as workload allows
  • Support finance, HR, or operations projects as assigned, including tracking incoming resumes for open positions and communicating with applicants
  • Assist with documentation, data entry, reporting, and internal coordination
  • Demonstrate flexibility in shifting priorities to meet institutional needs
  • Manage campus rental agreements. Prepare rental agreements, ensuring staffing, set-ups, payments, and documentation.
  • Review and distribute the employee handbook and document retention policies.
  • Prepare, submit, and manage all property & casualty insurance renewal documents and certificates of insurance from vendors.
  • Prepare an Emergency Management Plan in accordance with the State of Ohio, including recording of all drills.

Preferred Experience

  • Prior experience supporting a senior executive, school leader, or nonprofit administrator
  • Experience in an independent school or mission-driven organization; knowing the Lake Ridge community would be a plus
